This Privacy Policy explains how Practicerank.ai LLC (“PracticeRank,” “we,” “us,” or “our”) collects, uses, and shares information when you visit our website, request a free audit or PracticeRank Score, contact or book a call with us, or engage us for our services. By using our website or services, you agree to this Policy.

We use information to: provide and improve our services and website; prepare audits and PracticeRank Scores; manage and optimize the accounts and listings you authorize; communicate with you, respond to inquiries, and schedule calls; process payments and manage billing; produce performance reports; maintain security; and comply with legal obligations. We also use third-party AI services to generate content, structured data, and analysis, and to produce automated audits and PracticeRank Scores; these automated scores evaluate businesses and websites, not individuals.

We use cookies and similar technologies to operate the site, remember preferences, and measure performance, including through Google Analytics (GA4) via Google Tag Manager. You can usually control cookies through your browser settings. Disabling cookies may affect how the site works. Where required, we will request consent for non-essential cookies.

5. How We Share Information

We do not sell your personal information. We share information only as follows:

A current list of our key subprocessors — including Stripe (payments), Google (analytics, Tag Manager, and the platforms you authorize), Cloudflare and DigitalOcean (hosting and infrastructure), Webflow (website content publishing), BrightLocal and Grade.us (local SEO and review management), and Anthropic and Voyage AI (AI content generation) — is available on request. We require these providers to safeguard your information and to use it only to provide services to us.

6. Client Account Data

When you engage us, you authorize us to access and act within accounts you own or control so we can perform the services. We use this access only to provide the services and handle it under the terms of our Client Services Agreement with you. You can revoke this access at any time, subject to that agreement.

When we manage these accounts, we may process personal information about your customers, patients, or contacts (such as names, contact details, and reviews) on your behalf. For that information, you are the controller and we act as your service provider and processor: we process it only to provide the services, following your instructions and our Client Services Agreement and any Data Processing Addendum (DPA). You are responsible for having the rights and notices needed to share that information with us.

7. Artificial Intelligence and Automated Processing

We use third-party artificial intelligence (AI) services, currently Anthropic (Claude) and Voyage AI, to generate marketing content, structured data, and analysis, and to help prepare audits and PracticeRank Scores. Business and account information you provide may be processed by these providers so we can deliver these features. We use these services under their business and API terms, and the information we send to them is not used to train their AI models. AI-generated output is reviewed as part of our service, and our automated scores assess businesses and websites rather than making legal or similarly significant decisions about individuals.

8. Google User Data and API Services

When you authorize us to manage Google services on your behalf — such as Google Business Profile, Google Search Console, Google Analytics, and Google Tag Manager — our access to and use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide and improve the services you have engaged us for. We do not sell Google user data, do not use it for advertising, and do not transfer it to others except as necessary to provide the services, comply with applicable law, or as you direct.

9. Communications and Marketing Choices

If you contact us, request an audit, or become a client, we may send you service-related messages and occasional marketing communications by email. You can opt out of marketing emails at any time using the unsubscribe link or by emailing [email protected]; we will still send necessary transactional and service messages. If you provide a phone number and consent to text messages, message and data rates may apply and you can opt out by replying STOP. We do not share your contact information with third parties for their own marketing.

10. No Protected Health Information

Our services are not intended to collect or process individually identifiable health information or protected health information under HIPAA or similar laws, and we do not act as a HIPAA business associate. Please do not send us such information. If you operate a healthcare practice, you are responsible for keeping protected health information out of the materials and account data you share with us.

We keep personal information for as long as needed to provide our services, maintain business records, and comply with legal obligations, and then delete or de-identify it. Retention periods vary by the type of information and the purpose for which we hold it.

We use commercially reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a security incident affects your personal information, we will notify you and any applicable authorities as required by law.
